Equipment rental operations
Deploy into existing sites without rewiring, alterations or interrupting operations
When a rental request arrives, Lindos OS uses equipment location, operating condition and operator schedules to allocate equipment and operators. It reconciles actual working time to reduce idle time and billing disputes.
How a decision becomes action
Gather data → Reconcile hours → New request → Allocate → Review results
- ↓Idle time
- ↓Billing disputes
- Equipment rental
- Ports & terminals
- Construction machinery
Before & after
Equipment is spread across multiple project sites. Operators report working hours, which are checked line by line with customers at month-end. Operator qualifications and locations, equipment availability, contracts and payment status are held separately. When a new request arrives, the coordinator calls around to find available equipment and operators.
Engine running time, time seated in the cab from video records, and operator-reported hours are cross-checked to verify hours each day and produce equipment shift timesheets. For new requests, the system recommends equipment and operators based on location, availability, qualifications, contracts and payment status. Additional allocations to projects with overdue payments are held pending review. The responsible manager approves the arrangement before it is carried out.
The port area needs 2 excavators, 1 loader and 2 operators at 7:00 tomorrow morning.
Excavator 5 and Loader 2 are available. Excavator 3 can transfer after today's shift.
Payment from the municipal project is overdue.
Suggested action:Assign Excavator 5 and Loader 2, then transfer Excavator 3 after its shift. Ben Lee is qualified and on the route, making him a suitable operator match. Hold additional allocations to the municipal project.
Based on: vehicle locations and equipment status, in-cab video, operator qualifications, rental contracts and payment records.
Expected outcomes
- ↓Equipment idle time
- ↓Billing disputes
- ↓Allocation response time
- ↑On-time site arrival rate
- Who it serves
- Equipment operations managers and rental business managers
- Initial scope
- One project and one equipment category
Measure outcomes consistently: agree the indicators and record a baseline before starting, then compare results using the same definitions.
How it works
Collect → Assess → Coordinate
Cross-check working hours from three sources
Compare engine running time, time seated in the cab from video records, and operator-reported hours to verify the day's hours.
Match operators with equipment
Match available equipment with operators according to their qualifications and location.
Review contracts and payments together
Hold additional allocations to projects with overdue payments, and coordinate equipment and operators for new requests.
Where it applies
- Equipment rental
- Ports & terminals
- Construction machinery
Typical use cases
Operated equipment hire coordinationConstructionLink operators, equipment and assignments to reconcile working hours and charges.
Operated equipment hire requires three sets of information: operators, equipment and assignments. These are recorded separately, so billed hours must be checked line by line with customers and operators at month-end.
Sensors record which operator is using which machine for each assignment. When equipment or operators become available, Lindos OS alerts the responsible manager to arrange their next assignment. At month-end, working hours are reconciled against site records for billing.
- Link operators, equipment and assignmentsSensors record which operator is using which machine and carrying out which assignment on site.
- Check hours against site recordsReconcile billed hours against recorded site activity.
- Flag available resourcesAlert the responsible manager when equipment and operators are available for allocation.
Common questions
Does the site need alterations?
No. Deploy into your existing site without rewiring, alterations or interrupting operations. Attach, wear or position the sensors and plug in the receivers. Quantities and locations are agreed after a site survey.
How small can we start?
Start with one project and one equipment category. Review the results before deciding whether to expand.
How are results measured?
Before starting, both parties agree on measures such as equipment idle time, billing disputes, allocation response time and on-time site arrival rate. Record the baseline, then compare results using the same definitions.
What is the in-cab video used for?
It verifies how long the operator is seated in the cab, alongside engine running time and reported hours. Records are not used for performance appraisal or financial penalties.
Do we need to connect existing systems?
Connect existing systems as needed, such as rental contracts, billing and equipment management. Agree the integration scope before the project starts.
Who provides operational support?
Lindos delivers the sensors, Lindos OS, system integrations and operational support. Lindos provides remote support; on-site support is agreed for each project.
