Asset utilisation & allocation

Deploy into existing sites without rewiring, alterations or interrupting operations

When a department needs equipment, Lindos OS uses location, operating status and actual utilisation to recommend moving available equipment, improving utilisation and avoiding duplicate purchases.

What changes

Before & after

Today

Infusion pumps, patient monitors, centrifuges and other equipment belong to different departments and research teams. Each team knows its own equipment, but there is no shared record of what is in use or how often. One department may be short of equipment while another has spare capacity; purchasing plans are based on individual departmental requests.

With Lindos OS

Equipment location and operating status are recorded continuously to calculate utilisation by department. When one department is short and another has spare equipment, the system recommends a transfer for the equipment team to approve and arrange. Idle instruments can be made available for other research teams to book, while actual utilisation informs recommended changes to purchasing plans.

Example notification
Lindos OS | AssessmentInfusion pumps

ICU infusion pump utilisation is 96%, with a shortage of pumps.

General medicine infusion pump utilisation is 31%, with 9 idle units.

The procurement plan includes 8 infusion pumps.

Suggested action:Transfer 4 infusion pumps from general medicine to the ICU. Adjust the procurement plan to reflect actual utilisation: reduce 8 units to 4.

Based on: equipment locations and operating status, departmental loan records and purchasing plans.

Expected outcomes

Success measures
  • ↑Equipment utilisation
  • ↓Idle equipment
  • ↓Equipment shortage incidents
  • ↓Time spent finding equipment
Who it serves
Equipment managers, laboratory managers and ward managers
Initial scope

Measure outcomes consistently: agree the indicators and record a baseline before starting, then compare results using the same definitions.

How it works

How it works

Collect → Assess → Coordinate

Track location and operating status

See which department holds each item and whether it is running.

Measure actual utilisation

Compare utilisation by department and equipment type to identify shortages and spare capacity.

Reallocate equipment and refine purchasing

Recommend transfers between departments and changes to purchasing, subject to approval by the equipment team.

Typical use cases

Mobile equipment allocation in hospitalsHealthcare & careRecord equipment locations and loan status, then allocate it to meet departmental needs.
Today

Mobile equipment such as patient monitors and infusion pumps is shared between departments. When equipment is needed, nurses call around to find it. Once a loan is finished, the equipment sometimes remains in the borrowing department.

With Lindos OS

Nursing stations can locate nearby equipment that is not on loan. Using each department's loan history, Lindos OS flags potential shortages before peak demand and suggests where equipment could be sourced. It also sends return reminders when loans exceed the agreed period.

How it works
  1. Check location and loan statusNursing stations can see where equipment is and whether it is on loan.
  2. Plan transfers ahead of demandUse departmental loan records to recommend transfers before demand peaks.
  3. No equipment modificationsTags attach to the equipment casing without affecting its use.
Returnable asset trackingLogistics & warehousingTrack where returnable assets go and plan collections around delivery schedules.
Today

Pallets, roll cages and returnable containers circulate between warehouses and customers. The time they spend at customer sites varies, so warehouses need to know how many will be available for upcoming deliveries.

With Lindos OS

Lindos OS records the time and location whenever a returnable asset enters or leaves a warehouse, then checks availability against the delivery plan. If a shortage is likely, it gives advance notice and recommends adding collections to the next day's delivery routes.

How it works
  1. A movement record for every assetCheck each asset's last recorded location and how long it has been there.
  2. Attach tags directlyNo modifications to pallets or containers, and no wiring required.
  3. Flag shortages in advanceUse the delivery plan to identify when a shortage may occur and how many assets may be needed.
Questions

Common questions

Does the site need alterations?

No. Deploy into your existing site without rewiring, alterations or interrupting operations. Attach, wear or position the sensors and plug in the receivers. Quantities and locations are agreed after a site survey.

How small can we start?

Start with one floor and one equipment category. Review the results before deciding whether to expand.

How are results measured?

Before starting, both parties agree on measures such as equipment utilisation, idle equipment count, shortage incidents and time spent finding equipment. Record the baseline, then compare results using the same definitions.

Do medical devices need to be modified?

No. Tags attach to the equipment casing without affecting its use.

Do we need to connect existing systems?

Connect existing systems as needed, such as equipment registers, loan management and purchasing systems. Agree the integration scope before the project starts.

Who provides operational support?

Lindos delivers the sensors, Lindos OS, system integrations and operational support. Lindos provides remote support; on-site support is agreed for each project.
